(1) Vendor needs to provide conference and event planning services.– Conference planning firm to organize and execute the annual governor’s conference on tourism in 2025, 2026 and beyond.• Venue Management:– Collaborate with the city to identify and secure a suitable venue that accommodates our anticipated number of attendees and meets our technical requirements.– Negotiate favorable terms and contracts with the venue management.– Coordinate all logistical aspects related to the venue, including room setup, audiovisual equipment, catering, and accommodations.• Program Development and Management:– Collaborate with organizing committee to develop a comprehensive conference program that includes keynote speeches, panel discussions, workshops, and networking sessions.– Manage the scheduling of sessions, speakers, and activities to ensure a seamless flow of events.– Provide support for speaker management, including communication, travel arrangements, and presentation coordination.• Registration and Attendee Management:– Set up an online registration system for attendees, exhibitors, and sponsors.– Manage all aspects of attendee registration, including payment processing, ticketing, and badge printing.– Provide onsite registration support and customer service throughout the conference.• Logistics and Operations:– Collaborate with the host city to coordinate transportation services for attendees.– Manage logistics related to exhibitor setup, teardown, and coordination.– Ensure compliance with all health and safety regulations and protocols.(2) The contract period will be for two years.(3) All the questions must be submitted no later than May 14, 2024.
