(1) Vendor needs to provide case management software for public defender
- seeking an affordable, robust, and flexible case management software solution to assist with legal aid and deliver excellence in representing each and every client by leveraging the power of a comprehensive web-based case management system. The goal is to enhance the processes by which data is collected, stored, used and reported,
- Simplify and organize work
- User friendly and intuitive to capture important data
- More effectively manage all aspects of a case
- Streamline and organize the work of advocates
- Quickly and easily run reports without having any report writing knowledge
- Accurate and reliable performance metrics
- Respond to change quickly through easy site administration
- Automate manual processes,
- This case management software solution must be able to be configured to the Pulaski County Public Defender's unique way of operating. It is desired to have a solution that can be easily accessible from any location from any device with a secure connection,
- The solution should be scalable and have the capability to allow for the addition of new types of data, reports, and processes as needed in the future. It should also have the ability to integrate with other systems (ex. Quickbooks, CSV file, Adobe, Office 365, OneDrive/Sharepoint) and technology with the ability to add new integrations and utilize API framework to communicate with third party platforms,
- Customizable Case Management tools: to allow for tracking callbacks, outcomes, assign/manage tasks, case profiles, case notes, email to/from case, litigation information, reports, etc,
- Administrative Tools: to allow for management of the various aspects of the site to include login privileges, office assignment, program assignment, roles and permissions, create and modify workflows,
- Page Level Customization: to allow administrator to customize the look of the solution to County.
- Client Intake and Qualification: to add, edit, and delete charge information in line with the Public Defender's workflow and processes.
- Workflow and Task Management: capabilities to configure and adapt to the Public Defender's operation and the ability to modify.
- Guided Navigation: that gathers and evaluates data, by case, to determine the next appropriate action to take.
- Discovery capability: with the ability to upload documents, media and insert hyperlinks.
- Mobile Access: which can be accessed from any device to include PC, laptop, tablet, and/or phone with the display having the same functionality, automatically adjusting to fit the device used.
Integrated Search capability for custom reports, conflict searches, document and case notes search.
- Reports: capability to report on all data fields in the proposed system. The ability to create and modify reports,
- Calendar and Scheduling: capability to provide a centralized way to schedule appointments, tasks, and deadlines. The capability to e-mail items and set reminders for events.
- Communications and Contacts: capability to track all contacts and organizations in the database. The ability to track communications between users,
- SMS Test Messaging to communicate with clients, investigators to and from case. the ability to send text message reminders regarding calendar events, tasks, and deadlines.
- Accounting/Payroll capability to enter time and expenses, then export that data to be uploaded to Quickbooks.
- GIS capability to validate and geocode client address data.
(2) All the questions must be submitted no later than May 17, 2021.
